A reputed firm in Jubail in Contracting and Trading field looking for an Office Manager on urgent basis with well versed in computer skills and good communication skills.
JOB DESCRIPTION
• Provide wide range of complex office administration and executive support to the management. Prepare, review, route, and follow up on
internal and external correspondence.
• Gather and analyse information required by the management.
• Design and implement office polices.
• Establish standards and procedures.
• Review and proofread official documentation.
• Maintain complex executive diary and planning and scheduling meetings, conferences, teleconferences, and travel arrangements for
the president and other staff members.
• Take minutes of meetings and route to concerned employees and other stakeholders.
• Provide personal assistance to the other executives when required.
• Welcome guests and customers and answer or direct inquiries.
• Receive and screen incoming calls on priority base preference.
• Utilize extensive forward planning and time management of tasks and duties.
• Maintain customer confidence and protect operations by keeping information confidential.
• Complete ad hoc projects assigned by the management. Create and maintain accurate filing system.
• Maintain the office condition and arrange necessary repairs
• Organise office operations and procedures.
• Manage contract and price negotiations with office vendors, service providers and office lease
• Provide general support to visitors
• Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
• Liaise with facility management vendors, including cleaning, catering and security services
